What is an automatic paper folding machine?
An automatic paper folding machine feeds sheets from a stack on its own and folds each one to a preset fold, such as a letter or Z-fold, then stacks the finished pieces. Unlike a manual folder, you don’t feed sheets one at a time, so a single operator can fold hundreds of documents in minutes.
Automatic folders range from compact desktop units for weekly invoices to floor-standing production machines. Many also measure the paper and set the fold plates for you. When the machine also inserts and seals envelopes, it’s called an automatic folder inserter, covered below.
Common uses include invoices and statements, business letters, newsletters, church bulletins, school notices and marketing flyers.
How does an automatic paper folder work?
Rollers or suction pull one sheet at a time from the feed tray into fold plates; each sheet buckles at a set point and rollers crease the fold. The folded piece then exits onto a stacker or conveyor. Moving the fold-plate stops changes where the folds fall.
1. Load
Place a stack in the feed tray and choose the fold.
2. Feed
Rollers (friction) or suction (air) pull in one sheet at a time.
3. Fold
Fold plates buckle the sheet and rollers crease each fold.
4. Stack
Finished pieces exit to a stacker, ready to mail or insert.
Entry-level automatic folders have manual setup: you slide the fold plates to marked positions. Higher-end models offer automatic setup, measuring the sheet and moving the plates electronically, and store your common jobs so anyone can run them at the touch of a button.
What types of automatic paper folding machines are there?
The main types are automatic desktop (friction-feed) folders, programmable high-volume folders, automatic air-feed folders, and automatic folder inserters. They differ in speed, the paper they can handle, and whether they stuff envelopes.
| Type | Rated speed | Paper | Best for |
|---|---|---|---|
| Automatic desktop folderFriction feed, manual or preset folds | ~4,000 – 10,000 sheets/hr | Plain bond paper | Small and mid-size offices |
| Programmable high-volume folderAuto setup, stored jobs | ~12,000 – 17,000 sheets/hr | Bond; some light cardstock | Daily mailrooms, schools, churches |
| Automatic air-feed folderSuction feed | ~14,000 – 35,000 sheets/hr | Glossy, coated, mixed stock | Print shops, brochures |
| Automatic folder inserterFold, insert and seal | ~1,000 – 5,000 envelopes/hr | Bond paper plus inserts | Invoices, statements, notices |
Rated speeds are manufacturer maximums; real-world throughput is lower. Swipe sideways on a phone to see every column.

Do I need an automatic folder or an automatic folder inserter?
Choose an automatic folder if you only need paper folded; choose an automatic folder inserter if staff also stuff and seal envelopes by hand. Inserters cost more, but on recurring invoice or statement runs they usually save the most labor.
| Automatic folder | Folder inserter | |

What features should an automatic paper folder have?
Focus on speed, feed capacity, fold types, paper range and setup method, then add double-feed detection and job memory if several people share the machine. Folder inserters add feeder count, sealing and document-integrity features to that list.
Speed & feed capacity
Rated sheets per hour and tray size (often 150 to 500 sheets). Bigger trays mean less reloading.
Fold types
Most do letter, Z and half folds; better models add double parallel, gate and right-angle folds.
Paper size & weight
Check the minimum and maximum sheet size and weight; 11 x 17 or cardstock narrows your options.
Automatic setup & job memory
The machine measures the sheet and sets the plates, then recalls saved jobs at a touch.
Stapled-set folding
Some models fold small stapled sets; important for multi-page statements.
Counters & double-feed detection
Batch counters stop at a set number; double-feed detection prevents two sheets folding together.
How much does an automatic paper folding machine cost?
Automatic desktop paper folders typically cost about $800 to $3,500, high-volume friction-feed models $3,500 to $7,000, and air-feed folders roughly $5,000 to $20,000. | Automatic machine | New price* | Typical lease* |
|---|---|---|
| Automatic desktop folder | $800 – $3,500 | $35 – $100 / month |
| High-volume friction folder | $3,500 – $7,000 | Often purchased outright |
| Automatic air-feed folder | $5,000 – $20,000 | $150 – $350 / month |
| Entry folder inserter | $4,000 – $10,000 | $100 – $300 / month |
| Mid-volume folder inserter | $12,000 – $30,000 | $200 – $500 / month |

Older models: machines once sold under the SECAP, Hasler and Neopost names, such as the SECAP SI3500 and Neopost DS-35, have been replaced by newer lines from Pitney Bowes, FP and Quadient. They still turn up refurbished, but confirm parts and service are available before you buy.
Which automatic paper folding machine is right for my volume?
Under about 1,000 pieces a month, a basic automatic desktop folder is enough; from 1,000 to 5,000, consider an automatic folder or entry folder inserter; above 5,000, step up to a mid-volume inserter. Over 30,000 pieces a month calls for a production system.
| Pieces per month | Recommended machine | Typical budget (buy) |
|---|---|---|
| Under 1,000 | Basic automatic desktop folder | $800 – $1,500 |
| 1,000 – 5,000 | Automatic folder or entry folder inserter | $1,000 – $10,000 |
| 5,000 – 30,000 | Mid-volume folder inserter | $12,000 – $30,000 |
| 30,000+ | Production inserting system | $30,000 – $60,000+ |

Frequently asked questions about automatic paper folding machines
What is an automatic paper folding machine?
An automatic paper folding machine feeds sheets from a stack on its own and folds each one to a preset fold, such as a letter or Z-fold, then stacks the finished pieces. Unlike a manual folder, you don’t feed sheets one at a time.
How much does an automatic paper folding machine cost?
Automatic desktop paper folders typically cost about $800 to $3,500, high-volume friction-feed models $3,500 to $7,000, and air-feed folders roughly $5,000 to $20,000. Automatic folder inserters that also stuff envelopes start around $4,000 to $10,000. Compare local quotes for exact pricing.
What is the difference between an automatic folder and a folder inserter?
An automatic folder only folds paper. An automatic folder inserter folds the documents, inserts them into envelopes along with any reply envelopes or inserts, and seals them in one pass.
How fast are automatic paper folding machines?
Automatic desktop folders are typically rated at about 4,000 to 10,000 sheets per hour, high-volume models 12,000 to 17,000, and air-feed folders up to about 27,500 or more. Folder inserters are rated in envelopes per hour, usually about 1,000 to 5,000. Real-world throughput is lower than the rated maximum.
Can automatic paper folders fold glossy paper?
Most automatic folders use friction (roller) feed and can only handle plain, non-glossy paper reliably. For glossy or coated stock, choose an automatic air-feed folder that lifts each sheet with suction.
Can an automatic folder fold stapled sets?
Some can. Several models fold small stapled or unstapled sets, typically a few sheets, while others are limited to single sheets. Check the set-folding capacity if you mail multi-page documents.
Is an automatic paper folding machine worth it?
For most offices that fold more than a few hundred sheets at a time, yes. An automatic folder turns an hour or more of hand folding into minutes, and an automatic folder inserter saves even more by also stuffing and sealing envelopes.
